The Opportunity:
This is a critical, detail driven role supporting the service operation through effective management of warranty claims and special order parts. The Warranty Administrator will process and submit claims, ensure accurate documentation, and coordinate with manufacturers to secure timely approvals and reimbursements. Additionally, this individual will oversee the ordering, tracking, and fulfillment of warranty and special order parts exclusively, working closely with the service team and parts department to keep repairs moving efficiently. Serving as a key liaison between customers, service, and external partners, this role requires strong organization, responsiveness, and a commitment to delivering a seamless customer experience in a fast-paced, process driven environment.

Duties and Responsibilities:
  • Process, submit, and track warranty claims in a timely and accurate manner, ensuring compliance with manufacturer guidelines
  • Review repair orders and supporting documentation to validate warranty eligibility and claim accuracy
  • Communicate with manufacturers to follow up on claim status, resolve discrepancies, and secure approvals and reimbursements
  • Order, track, and manage special order and warranty parts to support service operations and minimize repair delays
  • Coordinate closely with Service Advisors and Technicians to ensure parts availability and proper documentation for claims
  • Maintain organized and up to date records of all warranty claims, parts orders, and related communications
  • Assist customers with warranty related inquiries, providing clear updates and maintaining a high level of service
  • Monitor outstanding claims and parts orders, proactively addressing delays or issues to keep work flowing efficiently
  • Ensure proper coding, entry, and reconciliation of warranty transactions within internal systems
  • Support overall service department efficiency by adhering to established processes and identifying opportunities for improvement

Qualifications:
  • Demonstrated experience managing warranty processes, including accurate claim preparation and documentation
  • Prior experience within a dealership or designated service center across Auto, RV, Powersports, Marine, Outdoor Power Equipment, Heavy/Ag Equipment is required
  • Strong customer facing skills with a focus on maintaining positive relationships and delivering a high level of service
  • Effective verbal and written communication abilities, with the capacity to interact professionally with both internal teams and external partners
  • Comfortable navigating digital systems and platforms used for claims processing, tracking, and general administrative functions
  • Highly detail oriented with strong organizational skills and the ability to manage multiple priorities in a fast-paced setting
