The Opportunity:
Our client is seeking an experienced RV Service Advisor to serve as a trusted point of contact between customers and the dealership’s service operation. This individual will guide customers through the repair process from initial write up through completion, accurately documenting concerns, communicating estimates and timelines, coordinating with Technicians and Parts personnel, and providing proactive updates throughout the process. The ideal candidate combines strong customer service instincts with the organization, follow through, and technical understanding necessary to keep repair orders moving efficiently while setting clear and realistic expectations. Duties and Responsibilities:
- Serve as the primary point of contact for customers throughout the service and repair process, delivering a professional, responsive, and customer focused experience
- Greet customers, listen carefully to their concerns, and accurately document symptoms, requested repairs, and relevant unit information
- Create complete and accurate repair orders, ensuring all customer concerns, diagnostic needs, authorizations, and supporting documentation are properly recorded
- Review recommended repairs with customers, clearly explain estimates and timelines, obtain authorization, and set realistic expectations regarding completion
- Maintain consistent and proactive communication with customers, providing timely updates regarding repair status, delays, additional findings, costs, and changes in expected completion dates
- Coordinate closely with Technicians, the Shop Foreman, Parts personnel, warranty administrators, and service leadership to support efficient workflow and timely repair completion
- Monitor assigned repair orders and work in process, following up on outstanding approvals, parts availability, technician findings, and other obstacles that may delay completion
- Schedule service appointments appropriately based on customer needs, shop capacity, technician availability, and anticipated repair requirements
- Conduct thorough unit walkarounds at check in, document existing damage and customer concerns, and ensure all necessary information is captured before the unit enters the shop
- Prepare accurate estimates using appropriate labor times, parts pricing, diagnostic requirements, and applicable fees
- Identify and recommend legitimate maintenance, repair, and accessory opportunities based on technician findings, manufacturer guidance, and customer needs
- Support warranty and service contract claims by gathering required information, securing necessary approvals, and maintaining complete and accurate documentation
- Review completed repair orders for accuracy, confirm that authorized work has been performed, and ensure the unit is ready before arranging customer pickup
- Explain completed repairs, charges, warranty coverage, and recommended future service to customers at the time of delivery
- Follow up with customers after service when appropriate to confirm satisfaction and address any remaining questions or concerns
- Maintain accurate customer, unit, repair order, and communication records through disciplined use of the dealership management system
- Assist in resolving customer concerns professionally and promptly, escalating issues to service leadership when necessary
- Coordinate internal, pre-delivery, and dealership-owned repair work as assigned while maintaining appropriate communication and documentation
- Help maintain a clean, organized, and professional service reception and customer-facing environment
- Follow established dealership processes, safety requirements, and documentation standards while contributing to continuous improvement within the service operation
Qualifications:
- Minimum of 2+ years of experience as a Service Advisor within an RV dealership or dedicated RV service environment
- RV industry experience is required, along with a working understanding of RV systems, components, maintenance needs, and common repair processes
- Demonstrated ability to manage the customer service process from initial write up through repair completion and final delivery
- Experience creating and managing repair orders, preparing estimates, obtaining customer authorization, and monitoring work in process
- Strong understanding of service department workflows, including scheduling, technician coordination, parts availability, shop capacity, and repair prioritization
- Experience supporting manufacturer warranty and extended service contract processes, including documentation, authorization requirements, and claim coordination
- Ability to interpret Technician findings and explain repairs, recommendations, costs, and timelines to customers in clear and understandable terms
- Proven ability to maintain proactive customer communication, set realistic expectations, and professionally address concerns or service delays
- Strong customer service and relationship-building skills, with the ability to establish trust and create a positive service experience
- Organized and detail oriented, with the ability to manage multiple customers, repair orders, deadlines, and shifting priorities in a fast paced environment
- Proficiency with dealership management systems (DMS) and the disciplined use of technology to maintain accurate repair order, customer, unit, and communication records
- Strong written and verbal communication skills, including accurate documentation and professional customer correspondence
- Collaborative working style and the ability to coordinate effectively with Technicians, Parts personnel, warranty administrators, and dealership leadership
- Sound judgment and problem-solving ability, with the initiative to identify obstacles, follow through on open items, and escalate concerns when appropriate
- Professional and polished presentation, with the ability to represent the dealership positively in all customer and internal interactions
- Dependable, accountable, and committed to following established processes while contributing to a team oriented service environment
- Valid driver’s license, reliable transportation, and an acceptable driving record required
